Listing Screen Commands - Document Transmittal module

Commands on the DOCUMENT TRANSMITTAL LISTING screen:

Amend Date Received 

  • Visible to both System Administrators and the Record Owner when the Value = Y for the Restrict Record Updates to User identified as Record Owner system parameter.
  • This command works for Internal Transmittals and External Transmittals.
  • Assuming the Date Received field isn’t blank (i.e., The Internal Receipt has been received already; External Receipts are automatically received, the command will display if multiple records are selected if they have the same record owner and facility.
  • When this command is selected, a pop-up displays on which the user can select the new date. A small success confirmation message displays at the top of the screen.
  • For Internal Transmittals, the new date displays in the Date Received column on the DOCUMENT TRANSMITTAL MODULE LISTING screen, the Date Received field on the DOCUMENT TRANSMITTAL MODULE UPDATE screen, and the Document Transmittal Certificate.
  • For External Transmittals, The Date Received change is captured in the Audit Trail accessible on the Document Transmittal Listing screen.


Amend Received By

  • Visible to both System Administrators and the Record Owner when the Value = Y for the Restrict Record Updates to User identified as Record Owner.
  • System Administrators, and Privileged Users with permissions and being the record(s) owner, will have the Commands option Amend Received By on the Document Transmittal Listing screen, given that they have selected one or multiple records (if multiple records are chosen, they must have the same record owner and facility).
  • When the Value = Y for the Restrict Record Updates to User Identified as Record Owner system parameter System Administrators only and Privileged User (PUs) with the proper privileges and being the record owner, will have the Commands option Amend Received By on the Document Transmittal Listing screen. Also, the Received By field must be populated for the Command to be available.
  • This command works for Internal Transmittals and External Transmittals.
  • Assuming the Received By field isn’t blank (i.e., The Internal Receipt has been received already; External Receipts are automatically received), the command will display if multiple records are selected if they have the same record owner and facility.
  • For Internal Transmittals, when this command is selected, the Personnel Search screen displays and the user can search for and select the new receiver. A small success confirmation message displays at the top of the screen.
  • For External Transmittals, when this command is selected, a window displays with the Amend Received By text field in which the user can type the name of the person who received the document.
  • The new Received By displays in the Received By column on the DOCUMENT TRANSMITTAL MODULE LISTING screen, the Received By field on the DOCUMENT TRANSMITTAL MODULE UPDATE screen, and the Name of Recipient block on the Document Transmittal Certificate.
  • The Received By change is captured in the Audit Trail accessible on the Document Transmittal Listing screen.


Transfer Record Ownership

  • Visible to System Administrators only when the Value = Y for the Restrict Record Updates to User identified as Record Owner.
  • The command will display if multiple records are selected if they have the same record owner and facility.
  • This command works for Internal Transmittals (non-received and received) and External Transmittals.
  • When this command is selected, a pop-up displays on which the user can search for and assign the new record owner. A small success confirmation message displays at the top of the screen.
  • The ownership change is captured in the Audit Trail accessible on the Document Transmittal Listing screen.
