Enhancements for Document Transmittals and Internal Receipts

  1. Search Screen
    • Assuming the user is a system admin or PU with proper privileges, he/she can search the transmittal record owner(person who created the transmittal) : 
      • This field(Record Owner) is a modal look-up based on all Users (Active and Inactive).
  2. Document assignment
    1. When searching for documents to assign, the user can now search by “Barcode” as a search criterion in the module pop up.
  3. New Listing Screen Commands
    • Transfer Record Ownership
      • User needs to be a system admin to view this command. 
      • The following setting: “Restrict Record Updates to User identified as Record Owner” needs to be set to Y.
        • If set to "N", the commands button won't even exist for the user(system or PU).
      • Multiple records can be selectable AND need to have same record owner and facility code for this command to useable. 
      • This command can work on internal(non received and received) and external transmittals.
      • This command opens up a pop-up, where the user can search for and assign a user as the new record owner (via drop down or search criteria).
        1. Record owner shall be set to the new record owner upon successful assignment of the new owner.
        2. Changes are captured in the Audit Trail and on the listing screen.
        3. Small success alert message up-top to say Record Ownership Transferred.
      • If unsuccessful transfer occurs, the system
        1. displays a modal pop-up with error/reason and must have a scroll bar in case text overflows.
    • Amend Date Received
      • Works for external/internal transmittals
      • User needs to be 1) system admin or 2)PU with proper privileges AND is the record owner.
      • This command works when the following rule: Restrict Record Updates to User identified as Record Owner is set to Yes.
        • If set to No, the commands option won't appear at all for the user.
      • Assuming the “Date Received” fields isn’t blank (Internal Receipt have been Received already, External Receipts are automatically received), this command will appear upon selecting one or multiple record(s). (records have to be part of same facility code and have to have the same owner to select multiple records). 
        • Changes are captured in the Audit Trail.
        • Document Transmittal’s “Date Received” field becomes altered with the new “Date Received” field AND this shows on the listing screen and on the transmittal record.
        • The Internal Receipt is altered according with the new “Date Received” (if internal transfer).
    • Amend Received By
      • Works for external/internal transmittals
      • User needs to be 1) system admin or 2)PU with proper privileges AND is the record owner.
      • This command works when the following rule: Restrict Record Updates to User identified as Record Owner is set to Yes.
        • If set to No, the commands option won't appear at all for the user.
      • Assuming the “Received By” fields isn’t blank (Internal Receipt have been Received already, External Receipts are automatically received), this command will appear upon selecting one or multiple record(s).(records have to be part of same facility code and have to have the same owner to select multiple records).
        • This command displays a free-form input text field for "Received By" field if Transmittal is Externally Transmitted.
        • This command displays a look-up field for the "Received By" field if Transmittal is Internally Transmitted.
      • Document Transmittal’s “Received By” field becomes altered with the new user who was selected to receive the document.
        • Changes are captured in the Audit Trail.
  4. New Transmittals
    • For Systems and PU with proper privileges:
      • The Add New Screen
        1. The Received By, Date Received and Date Returned fields are disabled.
        2. Send To Classified Address field (pulled from the facility) is disabled until Destination Facility is selected.
        3. The “Attention” field is set to the Document Control POC from the selected Origination Facility. 
          • If the Document Control POC is blank/NULL then set it to DOCUMENT CONTROL.
        4. The search button for the Destination field now has the Host/Customer drop down field for selection to narrow the search.
        5. The “Attention” field is set to the Document Control POC from the selected Destination Facility. 
          • If the Document Control POC is blank/NULL then set it to DOCUMENT CONTROL
          • MUST enable the Send to Classified Address field to change option(preset to No)
        6. WHEN the user selects
          • Yes for Send to Classified Address, the system
            • must display the Classified Address in the block.
          • No for Send to Classified Address, the system
            • hides the Classified Address in the block.
  5. Existing Transmittals
    • All fields of internal transmittals are locked down if internal receipt is received.
      • the transmittal isn't editable once received by the other facility.
    • If internal receipt is not received, the following fields must be disabled in the internal transmittal:
      1. Date Returned
      2. Received By
      3. Date Received
    • Destination field needs to be changeable((1) from host to host or customer AND (2) from customer to host or customer)
      • Changing of the destination field for internal transmittals shall change the Internal Receipt destination field(assuming the Internal receipt has not been received). 
      • If the internal receipt has been received, then changing of the destination field isn't possible.
    • User needs to be a system admin or PU with privileges to update the record through commands assuming the following rule is set to Y:
      1. Restrict Record Updates to User identified as Record Owner
      2. Update mode displays the following:
        1. Record Owner field (rendering the Employee Name based on User Record). This field must be disabled at all times.
    • System behavior
      • If Destination Facility is changed, the system
        • changes the Attention field according to the Document Control POC from the selected Destination Facility. 
          • If the Document Control POC is blank/NULL then set it to DOCUMENT CONTROL.
        • sets the Send to Classified Address to No.
          • hides the Classified Address in the block.
        • allows the user to change the selection for Send to Classified Address.
          • If user makes selection as Yes for Send to Classified Address, the system displays the Classified Address in the block.
          • If user makes selection as No for Send to Classified Address, the system hides the Classified Address in the block.
  6. Internal Receipts
    1. An Update icon shows on the listing screen for the internal receipt records(PU needs proper privilege's to click this update button).
    2. PU users now need the “Receive Internal Transmittal” privilege for the Destination facility under Document Transmittal section of User Profile in order to see and click the Receive Button appear in Internal Receipts module.
    3. Internal Receipts that contain documents that have been sent through other Internal Receipt are retired(can neither be received or undone)
      1. No button appears for these(Receive or Undo).
      2. Example: If the document is sent from A to B, then from B to C. Assuming all facilities are hosts, the internal receipt associated with the A to B transmittal now lacks the buttons to undo the transmittal and can't be received either as the documents have traveled to another facility at this point.
