Overview
There are eight System Profiles:
- Allow Anonymous Reporting
- Allow CONUS Outgoing Visit Requests between Host Facilities
- Enable Hotline
- Maximum Acceptable File Size (in MB)
- Require Comments to be added on Approving a Requisition
- Require Comments to be added on Rejecting a Requisition
- Send Daily Summary Email to Supervisor for Non-Compliant Trainings
- Send Welcome Email to New User Accounts
Profile | Value | Portal Commander Permissions |
Allow Anonymous Reporting | N or Y | When Value = Y, the SUBMIT ANONYMOUS REPORT button displays on the Log In screen. NOTE: The individual(s) who should receive submitted reports (via email) need to be configured in the Anonymous Reporting User Group (User Group Management menu > USER GROUP LISTING screen > Anonymous Reporting). |
Allow CONUS Outgoing Visit Requests between Host Facilities | N or Y | When Value = Y, facilities configured as Host facilities in Access Commander's Facility Management module may be searched for and selected in the CONUS Outgoing Visit Authorization request in the Destination Facility field. |
Enable Hotline | N or Y | When Value = Y, the Hotline Config submenu displays under the ADMINISTRATION menu. The Hotline Config feature allows System Admins to add/update/delete hotline contacts (i.e., Contact Name, Phone Number, E-Mail). The Hotline Information block displays on the Portal Commander Log In page and at the bottom of the landing page. |
Maximum Acceptable File Size (in MB) | # of MB | The Value in this field defines the maximum file size that will be allowed for a file upload. The default max file size is 50MB. |
Require Comments to be added on Approving a Requisition | N or Y | When Value = Y, a window displays requiring the FSO approving/completing the request to enter a comment before being able to click the Add Comment and Approve Requisition button. When Value = N, the request is approved/completed; no window displays requiring a comment to be entered |
Require Comments to be added on Rejecting a Requisition | N or Y | When Value = Y, a window displays requiring the FSO rejecting the request to enter a comment before being able to click the Add Comment and Reject Requisition button. When Value = N, the request is rejected; no window requiring a comment to be entered. |
Send Daily Summary Email to Supervisor for Non-Compliant Trainings | N or Y | When Value = Y, Portal Commander users who are part of the Supervisor User Group will receive an email daily that lists the Portal Commander users who have not completed assigned training by the Due Date. |
Send Welcome Email to New User Accounts | N or Y | When Value = Y, the New Account Creation in Portal Commander email template displays in the E-Mail Templates module and may be enabled. When the template is enabled, employees whose records in Access Commander's Personnel Management module which sync with Portal Commander the first time will receive the welcome email. |
System Profiles How To's
Enable/Disable Anonymous Reporting

- On your Portal Commander landing page, expand the ADMINISTRATION menu in the panel on the left.
- Click the System Profiles submenu. The SYSTEM PROFILES page displays.
- Click the Update button in the Options column for the Allow Anonymous Reporting profile. The Value field becomes editable.
- In the Value field, type Y to display the SUBMIT ANONYMOUS REPORT link on the Login page, or type N to disable Anonymous Reporting.
- Click Update Profile. A confirmation window displays.
- Click OK. Depending on whether you entered Y or N, the SUBMIT ANONYMOUS INCIDENT button on the login page will display or not display, accordingly. When a user submits an anonymous report, an email is sent to the users who are part of the Anonymous Reporting User Group.
Enable/Disable Host Facilities to be Available as the Destination Facility for CONUS Outgoing Visit Authorization Requests

- On your Portal Commander landing page, expand the ADMINISTRATION menu in the panel on the left.
- Click the System Profiles submenu. The SYSTEM PROFILES screen displays.
- Click the Update button in the Options column for the Allow CONUS Outgoing Visit Requests between Host Facilities profile. The Value field becomes editable.
- In the Value field, type Y to have Host facilities be included in the Destination Facility look-up field search on the CONUS Outgoing Visit Authorization form. Type N if only Customer facilities should be available for selection.
- Click the Save button in the Options column. A confirmation window displays.
- Click OK. Depending on whether you entered Y or N, the, Host facilities will or will not be available for selection for the Destination Facility look-up field, accordingly.
Enable/Disable the Hotline Config submenu on the ADMINISTRATION menu

- On your Portal Commander landing page, expand the ADMINISTRATION menu.
- Click the System Profiles submenu. The SYSTEM PROFILES screen displays.
- Click the Update button in the Options column for the Enable Hotline profile. The Value field becomes editable.
- In the Value field, type Y to display the Hotline Config submenu on the ADMINISTRATION menu, or N to not have it available.
- Click the Save button. A confirmation window displays.
- Click OK. The updated value displays in the Value column. If the Value was changed from N to Y, the Hotline Config submenu will display in the ADMINISTRATION menu, and hotline entries can be added and will display on the Portal Commander Log In page and at the bottom of the landing page.
- To return to the landing page, click the Portal Commander logo in the upper left-hand corner. The Portal Commander landing page displays.
Set the Maximum Acceptable File Size for File Upload

- On your Portal Commander landing page, expand the ADMINISTRATION menu in the panel on the left.
- Click the System Profiles submenu. The SYSTEM PROFILES page displays.
- Click the Update button in the Options column for the Maximum Acceptable File Size (in MB) profile. The Value field becomes editable.
- In the Value field, modify the file size as applicable. The maximum value is 50.
- Click the Save button in the Options column. A confirmation window displays.
- Click OK. The new file size maximum will be applied when files are uploaded into Portal Commander.
Enable/Disable Requirement for Comments when Approving/Completing a Request

- On your Portal Commander landing page, expand the ADMINISTRATION menu in the panel on the left.
- Click the System Profiles submenu. The SYSTEM PROFILES page displays.
- Click the Update button in the Options column for the Require Comments to be added on Approving a Requisition profile. The Value field becomes editable.
- In the Value field, type Y to require a comment to be entered when approving/completing a request in the FSO Requisitions Queue, or type N to not require a comment. NOTE: For most requests, when the Value = N, the request is immediately approved, with no further window displaying.
- Click the Save button in the Options column. A confirmation window displays.
- Click OK. Depending on whether you entered Y or N, the FSO will or will not be required to enter a comment when approving/completing a request, accordingly.
Enable/Disable Requirement for Comments when Rejecting a Request

- On your Portal Commander landing page, expand the ADMINISTRATION menu in the panel on the left.
- Click the System Profiles submenu. The SYSTEM PROFILES page displays.
- Click the Update button in the Options column for the Require Comments to be added on Rejecting a Requisition profile. The Value field becomes editable.
- In the Value field, type Y to require a comment to be entered when rejecting a request in the FSO Requisitions Queue, or type N to not require a comment.
- Click the Save button in the Options column. A confirmation window displays.
- Click OK. Depending on whether you entered Y or N, the FSO will or will not be required to enter a comment when rejecting a request in the FSO Requisitions Queue, accordingly.
Enable/Disable Non-Compliant Training Summary Email for Supervisors

- On your Portal Commander landing page, expand the ADMINISTRATION menu in the panel on the left.
- Click the System Profiles submenu. The SYSTEM PROFILES page displays.
- Click the Update button in the Options column for the Send Daily Summary Email to Supervisor for Non-Compliant Trainings profile. The Value field becomes editable.
- In the Value field, type Y to send an email daily to Portal Commander users who are part of the Supervisor User Group that lists the Portal Commander users who have not completed assigned training by the Due Date. Type N to not have the email trigger for the Supervisor User Group users.
- Click the Save button in the Options column. A confirmation window displays.
- Click OK. Depending on whether you entered Y or N, Portal Commander users who are a member of the Supervisor User Group will or will not receive the daily non-compliant summary emails, accordingly.
Enable/Disable the New User Account Email Template
NOTE: When the Value for this system profile is Y, the New Account Creation in Portal Commander email template displays in the E-Mail Templates module and may be enabled.

- Click the Update button in the Options column for the Send Welcome Email to New User Accounts profile. The Value field becomes editable.
- In the Value field, type Y to trigger the New User email for employee records in Access Commander's Personnel Management module which sync with Portal Commander the first time. Type N to not have the email be sent.
- Click the Save button in the Options column. A confirmation window displays.
- Click OK. Depending on whether you entered Y or N, the New Account Creation in Portal Commander email template will or will not display in the E-Mail Templates module, accordingly.
