Required Records/Fields 

When adding an OCONUS Outgoing Visit record, the following records/fields are required so you'll want to be sure you have this information available before you begin: 


  • Visit Type (i.e., Government, Contractor, Dual) 
  • NATO (i.e., Yes/No). If Yes, an employee can only be assigned to the visit if in their Personnel Management record has an Active NATO Caveat record including the Date Briefed.
  • Facility Code – see requirements for the facilities below for Government/Agency Facilities and Contractor Facilities.
  • Visiting Country
  • Visit Start Date and End Date
  • Purpose
  • Security Disclosure Level
  • Initiative
  • Initiated By
  • Which of the following apply, and the justification for those that do apply:
    • Specific Equipment or Weapon System
    • Foreign Military Sales or Export License
    • Program or Agreement
    • Defense Acquisition Process
    • Other
  • Passport Number – the employee’s passport number must exist and be active in their Personnel Management module in order to be assigned to the visit.
  • Government/Agency Facilities, when Visit Type is Government or Dual. NOTE:  The facility must exist in the Facility Management module and the Facility Type =  OCONUS Government Facility. The Physical Address Country must match the country being visited.
  • Contractor Facilities, when Visit Type is Contractor or Dual. NOTE:  The facility must exist in the Facility Management module and the Facility Type =  OCONUS Contractor Facility. The Physical Address Country must match the country being visited.
  • Associated Document Type. if you will be uploading any associated documentation, ensure that the required document types have been added to the Associated Document Type – OCONUS Outgoing profile


 

Records required for Assignments

Before being able to complete assignments, the following applicable records need to exist: 

  • Employees who are being assigned to the visit (employee record must exist in the Personnel Management module and Status = Active). Their passport must also be included in their record, and Active (Personal tab > PASSPORT section). 


The following fields are not required, but the data needs to already be entered in order for you to be able to complete the field: 

  • Pass Through Facility (facility must be entered in the Facility Management module) 
  • Contract (contract must exist in the Contract Management module and Status = Active) 

  


Lead Time Information

The lead time for most countries is 30 days. Only a few have specific lead times. If the lead time is not correct, please submit a ticket in the Customer Service Portal (CSP) and indicate the source of the correct lead time.
